How to Login?

Standard Login

For theStandard Login page, you will need to type in the Company Login ,name, Employee name, and the Employee's password to log into the time card to clock in or out. The standard login page is perfect for individuals that will login from their computer at their desk. The standard login will require the company login name, employee name and password.

List Login

The List Login page is used to select the employee's name from the drop down list then typing in the password to login quicker into the time card, thus illiminating having to type in the employee's name.

To access the List Login page, you will need to click on the Standard Login link to login as Admin then logout to the Standard Login page then click on the Create List Login link. This step is a one time only step to configure your location to access the employee list. Save the List Login page as a shortcut to the desktop for quick access to the login page of your choice.

Quick Punch

The Quick Punch Login page is used to select the employee's name from the drop down list then typing in the password and click on the Clock In/Out button to register the time into the employee's time card without having to login into the time card, thus saving a step. Employees can still have access to view their time card by clicking on the List Login or Standard Login links to login into their time card. (Companies using the multiple project time tracking feature will not have the Quick Punch available.)

The Quick Punch page is only available for companies that do not use the Project clock in buttons for tracking time on different projects.

Group In/Out Login Page

To access the Group In/Out page is located in the List Login, you will need to click on the Standard Login link to login as Admin then logout to the Standard Login page then click on the Create List Login link. This step is a one time only step to configure your location to access the employee list. Then in the employee's name drop down list, select Group In/Out and click Login. The Group In/Out login page is used with no passwords for quicker time punches. The Group Login page is great for a dedicated computer used for all of the employee's to clock in and out. Create a Shortcut

All of the login pages have a link at the bottom of the page to Create A Windows Shortcut. Click on the link and save the file to your computer desktop and when download complete close. Exit browser and look for the Icon on your desktop. Test the icon.

STANDARD TIME CARD LINKS

Welcome to your Employee Time Card. This page will give you full details of your time punches and pay period totals. When you login into your time card, you will see several links at the top left side of the page. The links will give you access to the different features within the time clock account. If you need assistance with requesting a change in your time card, please contact your time clock account administrator. If you do not know who you administrator is, call Customer Service 405-314-2436 and they can direct you to your administrator.

Time Card - To Clock In and Out

The Time Card page will give you access to clock in and to clock out. When you clock out, you may enter a out of office note where you are going. This will be displayed on the Who’s In page and is designed to let other people know where you are.

If you missed clocking in or out and need to request a change in your time card, contact your supervisor or the time clock administrator to edit/change your time card.

Use the Note link as an exception report. The employee can type in the Notes what his/her time was and the Administrator has access to viewing the notes online to determine if the time is to be accepted.

If time limits have been enabled by the Administrator and you login during a blocked time, you will get a message at the bottom of the page telling you that the current time is blocked for you.

Time Card Approval button for payroll processing: Located in the Employee's Time Card page, there is a "Time Card Approval" or "Remove Approval" button. When the Employee reviews his/her time card for the pay period to make sure there are no missing time entries, the Employee then clicks on the "Time Card Approval" button for the Supervisor/Manager or Administrator's final approval before going to payroll. The Employee can click the "Remove Approval" button if changes need to be addressed by the Supervisor or Administrator.

NOTE: Once the time card is approved by the employee the time card entries cannot be edited, unless the employee clicks the "Remove Approval" button. This keeps anyone from editing the time card without Employee's or Supervisor's knowledge and it must then be approved. The Supervisor/ Manager or Administrator can edit the time card when the Employee has removed the approval status.

Paid Time Off

The Paid Time Off page will let you enter time to be charged against your available PTO hours. You will have a list of available hours and used hours across the bottom of the page. If you want to delete an entry, clear the In time box and click the Save Changes button.

Notes

The Notes Category page will let you enter notes, expense and reimbursement information, such as, mileage, travel time, reimbursement expenses, tips etc., according to your administrator setup. Select the date and type in the number and/or text for reimbursement. The time clock will automatically give you a today and pay period balance for processing reimbursement checks. If you want to delete an entry, place the curser next to the type and delete or clear the entry in the box and click the “Save” button.

Out Button Message

The Out Button page will let you create multiple clock out button messages that will automatically fill in common "out of office note" messages for you. That way you can put in a full out of office message with just the click of a button. This option is great for "Out to Lunch" or "Gone for the Day" message buttons. The clock out button message note will appear in the Who's In page and employee's time card.


EMPLOYEE ASSIGNED ACCESS LINKS

Time Card Change Request

If an employee forgets to clock in or out and need to add or adjust a time entry, employees can easily request a time card change for the supervisor to review for approval. When the change request has been approved the change will automatically populate into the employee’s time card. All requests will not be added to an employees time card unless it is approved. **Employees do not have edit access to their time card when using this feature. If the link is not available in your time card, you will need to request this feature to be activated by the administrator in the Employee Access page.

Time Card Add Entry Only (Limited Edit Access)

The administrator can give employees limit edit access so that the employee can add entries to the time card. This is a limited edit capablility given to employees that need to add time entries only without having access to change their time card. No access to edit, change or remove time card entries.

Time Sheet Authorization

If the Administrator has given you access to view and print out a Time Sheet Authorization form a link will appear in your time card favorite links at the top of the page. The time sheet authorization with time approval signature line. This page is for individuals that need to get their time card approved from an outside vendor for billing their time on the job. This page can be printed in bulk or individual.

Change Password

The Change Password page will let your change your password.

Who's In

If given access by the administrator, the Who's In page will show you who has clocked in and who has clocked out. It will also display the "Out of Office Note" from the employees time card. If the employee has not clocked in yet today, is will show an empty box. This page was designed so everyone can quickly tell who is in the office and if someone is out of the office, it can tell you where they went.

Message Center

The Message Center page will let you send and receive messages to and from your staff and supervisors similar to your email. The message center will automatically display first alert only if there are unread messages. Once all messages are read, the message center will not display first.

If you have a new message, the login with automatically go to the Message Center page so you can read your new messages. Click on the subject link to view the message and reply if necessary. Once you have read your message, the status on your message will show that it has been read. To remove the read messages, click on the trash can icon to remove or delete the messages.


SUPERVISOR LINKS

Time Card Detailed Report

If you are a supervisor, you will have access to the Time Card Detailed Report. This report will give you all the time card entries from all the employees in your department. The report will show totals for each day and a running total for the week and for the pay period. The background color of these two columns will change as each week changes to help you know when a new week starts. This will help track a 40-hour workweek.

If you are a supervisor with edit access, on the far right column you will see an Edit link. The Edit link will let you make changes to the time card entries for only the employees assigned as a member of your department.

If you need to see a different pay period, click on the pay period drop-down list and select the pay period needed. To create a new time card entry from a previous pay period the Administrator only has access to make this type of entry.

Time Card Summary Report

If you are a supervisor, you will have access to the Time Card Summary Report. This report will give you the total hours for all employees in your department for the pay period. Project time and reimibursement expense tracking is available in this report.

If you need to see a different pay period, click on the pay period drop-down list and select the pay period needed.

Time Card Edit

If you are a supervisor with full edit access, you can use the Time Card Edit page. This page will let you update the employees time card entries for employees in your department. This page will let you change the dates, times, types, and the mileage. If you want to delete and entry, put the curser next to the text and then delete or clear text the In time box and click the Save Changes button.

If the Approval For Payroll buttons are activated in the Time Clock Menu | Report Configuration | Optional Column Setup page, in the Time Clock Edit page the Supervisor/Manager or Administrator will see a notification at the bottom of the time card stating "This time card has employee approval for payroll" or located at the top stating "Employee has not approved for payroll". Once an employee has clicked on the "Approve for Payroll" button, there will be an "Approve for Payroll" button available for Supervisor/Administrator to approve the employee's time card for final payroll processing. If the employee has not selected the Approve Time Card button, the statement "Employee has not approved for payroll" will be posted in the Time Card Edit page.

In the Detailed and Summary Reports, you will see an Approval column that will show if an employee's time card is approved for payroll.

None = Employee has not selected the approval button.

Employee = Employee has selected the approval button and is waiting for Supervisor approval.

Supervisor = Supervisor/Manager or Admin has approved for final payroll processing.
